Scheme for the Presentation of Projects

All local Associates and Associations are invited to present to the Board of Directors at any time their proposals for the realization of initiatives signed by the Association (PROLOCO): conferences, exhibitions, debates, festivals, retrospectives, workshops, events, etc.

Project proposals must meet feasibility requirements and be in line with the Association's goals and objectives. The proposals will be examined by the Board of Directors to verify the compliance of the proposals with the requirements and the evaluation will be communicated to the members and to the Associations in the Assembly or by e-mail, to implement the implementation phases through specific Working Groups.

For simplicity and uniformity, we strongly suggest the drafting of a single document that follows the traditional Who, What, How, Where, When scheme.

Who

Description of the promoters and the relevant public.

In this section, define who the promoting group is made up of, who came up with the idea and from which people the organizational staff will have to be composed: if people who cover certain roles are already available, indicate their names and contact details.

In any case, always indicate the contact details of a single contact person.

Indicate the target audience of the initiative, also by macro-categories, differentiating between primary and secondary targets: for example, associates, companies, students, citizenship, etc. Description of the nature and course of the proposed event. A good way to do this is to imagine describing the event to a non-industry person.

As

Indicate in this section which resources are needed to carry out the event.

A rough budget hypothesis must be provided, including all conceivable cost items: organization, paid staff, external contributions (speakers, etc.), logistics, (travel, overnight stays, meals, etc.), location costs, costs of the communication, post-production costs (Flyers, etc.).

If possible, identify the categories of suppliers: for example a printer, an outfitters, a photographer, etc.

Finally, indicate the possible economic channels for revenue: sponsors, contributions from interested or involved bodies or institutions, payment of entrance tickets, donations, subscriptions, etc.

If possible, also indicate the existence of already established or privileged contacts between the organizing group and the supporting subjects.

Where is it

Describe here the locations hypothesized for the event. They can already be localized (for example, farmhouse square, floodplain, park, etc.) or generic (a conference room, a covered exhibition space of a total square meters).

When

This chapter describes the general planning of the event, indicating the implementation times of all phases in days or weeks: for example, design, search for revenue, implementation, event, post-production.

The widest possible documentation must be attached to this document to better describe the project: similar cases (for example a similar event), photographs, writings, floor plans, etc.

The proposal can be sent by e-mail to prolocosanpossidonio@gmail.com or be delivered and illustrated in person to the Board of Directors, by appointment (you can contact the cell. 338-5476986). The Board of Directors will act immediately to discuss the proposal, work in a group operationally on

of it to produce an Executive Project 1.

Thanks for collaboration.

The Board of Directors

1 The Executive Project differs from the composition of the proposal described here because it is more complete and verified, and drawn up according to the scheme traditionally recognized in the programming sector. It contains the following chapters: the promoters, the organization, origin and motivation of the project, idea and contents, objectives, target audience, context, project description, analysis, strategy, resources, marketing, budget.
